The countdown is on! In just under a month, Cvent will reveal its highly anticipated annual Top Lists at IMEX Frankfurt 2025.

The Cvent Top Lists are Cvent’s annual rankings of the top-performing hotels and destinations for meetings and events. These are the venues and cities that planners trust, book, and return to again and again.

These lists will highlight the top hotels and destinations in Europe, North America, Asia-Pacific (APAC), the Middle East, and Africa, and for the first time, Latin America.

And that’s not all: This year, Cvent will also reveal the Top 100 List for Venue Directory and Cvent Vendor Marketplace powered by Reposite. However, these particular lists will be revealed after IMEX Frankfurt.

Why is this a big deal?

Cvent Supplier Network is one of the largest online marketplaces globally, featuring nearly 340,000 hotels and venues. In 2024, RFPs worth $17.7 billion were sourced through the Cvent Hospitality Cloud.

This network translates to a huge amount of hospitality data that Cvent analyzes yearly to understand event planners’ favorite venues and destinations.

How hotels and destinations make the lists

These lists aren’t based on opinions or popularity contests. They’re grounded in actual destination and hotel data.

Cvent reviewed qualified sourcing activity that took place on the Cvent Supplier Network (one of the world’s largest venue-sourcing platforms) between January 1 and December 31, 2024.

To ensure the lists reflect true performance, the rankings are primarily based on four key metrics:

  • Business Received

  • Business Awarded

  • Market Share

  • Conversion Rate

This method protects against one massive hotel skewing the results and factors in both the number of hotels in a destination and their size, giving a more holistic view of MICE activity around the world.

What regions are included?

Cvent’s Top Lists are broken out by region so planners and suppliers can get the most relevant insights. You’ll find top meeting hotels and top meeting destinations in:

  • North America

  • Europe

  • Asia-Pacific (APAC)

  • Middle East and Africa

  • Latin America

Why do these rankings matter?

For event planners:
These lists are your go-to cheat sheet for where to host your next big meeting or event. It shows which destinations are trending, which hotels are winning business, and where your peers are sourcing the most.

For hospitality professionals:
Making it on Cvent Top Lists is a badge of honor. These rankings are a powerful tool for attracting and converting more group business. They highlight your property’s visibility, appeal, and conversion performance on a global stage.

Where and when will the lists drop?

Cvent will officially unveil the 2025 Top Lists live at IMEX Frankfurt 2025.

And trust us, you’ll want to be among the first to see which cities and venues are topping the charts this year.

Tips for becoming a top meeting hotel

1. Optimize your Cvent Supplier Network profile
Your Cvent listing is your digital storefront. That’s why you need to make it shine:

  • Keep photos and floorplans up to date.

  • Highlight your standout meeting spaces and recent renovations.

  • Use compelling descriptions that speak to planners’ pain points (think: flexibility, tech capabilities, location perks).

  • Bonus tip: Monitor and respond to RFPs quickly. Planners love responsiveness.

2. Nail the first impression (and the follow-up)
The initial response to an RFP can make or break a deal.

  • Respond quickly. Most planners (80%) want responses to their RFPs in four days or less.

  • Personalize your proposals and clearly outline why your venue is a perfect fit.

  • Follow up strategically to show you're invested in their event's success.

3. Focus on conversion, not just volume
It’s not just about how many RFPs you receive. It’s how many you win.

  • Train your sales team to focus on qualifying leads and tailoring proposals. Use tech to help you sort through and find high-value leads quicker.

  • Use data to identify the types of events you’re most likely to win and go after more of them.

4. Collaborate with local CVBs and DMOs
Make friends or strengthen ties to your local Convention and Visitor Bureau (CVB) and Destination Marketing Organization (DMO).

  • Partner with your city’s destination marketing team to be included in destination-wide bids.

  • Co-market your hotel as part of a complete meeting experience. Highlight nearby attractions, transportation, and activities.

5. Deliver an unforgettable experience
Winning the booking is step one, but here’s how you earn the rebook:

  • Provide seamless planning support, tech-enabled experiences, and wow-worthy service.

  • Ask for feedback, follow up post-event, and encourage happy planners to provide testimonials.

Tips for becoming a top meeting destination

1. Partner with local hotels and venues
Your strength is in your collective offering.

  • Work closely with hotels, venues, and convention centers to promote your destination as a unified meetings hub.

  • Offer joint proposals or packages to streamline the sourcing process for planners.

  • Encourage partners to keep their Cvent Supplier Network profiles polished and consistent with your destination’s messaging.

2. Be visible on the Cvent Supplier Network
Planners can’t book what they can’t find.

  • Make sure your CVB or DMO profile is active, up-to-date, and includes compelling content (videos, downloadable guides, sample itineraries).

  • Promote your destination’s unique value props like accessibility, sustainability efforts, or cultural appeal for international events.

  • Consider Cvent advertising opportunities to drive more planner eyeballs to your destination.

3. Deliver seamless support to planners
Make sourcing your destination the easiest "yes" they’ll make.

  • Provide fast, centralized RFP responses or referrals to the right venues.

  • Share planning resources, city guides, and prepackaged incentive ideas.

  • Offer site visit coordination and be the go-to contact from the first inquiry.

4. Highlight group-friendly perks and experiences
What makes your destination stand out?

  • Promote team-building activities, local tours, walkable downtowns, and other group-friendly attractions.

  • Emphasize ease of travel (direct flights, public transit, etc.) and unique experiences that turn a meeting into a memorable trip.

  • Showcase success stories or testimonials from planners who’ve hosted recent events in your area.

5. Track the data and tell the story
Use data to boost your case for Group/MICE business.

  • Keep an eye on sourcing trends and RFP volume across your market.

  • Share metrics with stakeholders to align efforts and improve conversion rates.

  • Celebrate wins! If your destination is climbing the ranks, let the world (and every planner) know why.
