Adopting the right technology has allowed SevenEvents to streamline its event management process, enabling them to manage more events in the same time period due to increased efficiency and a reduction in manual processes.
Benefits of Adopting Cvent
Jack Grover, Senior Project Executive at SevenEvents, works on the entire event lifecycle from creation to completion. The majority of the events SevenEvents manage are meetings, incentives, conferences, and exhibitions (MICE), but the business is rapidly increasing each year and it’s constantly changing space requires a robust solution to be able to deliver on each new event.
SevenEvents have been using Cvent since 2019, and within the first 10 months, they have processed just shy of 2,000 registrations and managed 15 events. Utilising the event management and registration platform, “having the ability to adopt the other aspects of Cvent when we need is a massive plus.”
Due to the increase in the number of events SevenEvents were managing, they needed a new event management platform. Challenges such as the time it took to create an event website, reporting on event registration and attendance, and email/website branding were all paramount in the decision to move to Cvent.
“We are getting to the point where I thought we might get a brief which we couldn’t fulfill, so we knew we had to change”, stated Jack, who oversaw the transition to Cvent. “Since we adopted Cvent, it has been so much more time-effective, cost-effective, and the team has found it a lot easier to pick up. The standard is just at a higher level – across the board it has been a really beneficial switch.”
In particular, one of the main draws to Cvent was the ability to customise event websites and brand them according to their client branding guidelines using Cvent Flex Standard Registration. “A lot of our clients are design-driven and very brand heavy so, Flex has given us the capability to build websites that can meet these specific requirements for their branding… I think it’s unrivalled, honestly.”
The sleeker design of the event website and emails has increased engagement with the delegates. “The engagement with delegates has been unbelievable, email open rates have been higher than ever before and the attendance in our events have skyrocketed. We can run really imaginative websites which previously we were restricted with”.
Making it easier to share event details
Before adopting Cvent, reporting was always an issue. Sharing event information with the client throughout the event lifecycle was a slow task, requiring emailing of Excel spreadsheets. This is where SevenEvents have seen the value in the Cvent Portal and the reporting tools. “Being able to send campaigns, reports - such as email opens - in real-time and being able to collect all the information post-event to provide metrics has been super beneficial. Previously we couldn’t do that, I had to send Excels… the feedback that we’ve received has been overwhelmingly positive throughout the whole year.” The Cvent Portal has allowed key stakeholders to see all this information securely and without having to go via Jack and his team, freeing their time up to focus on the event itself.
It has reduced the average process of building and opening a website from “upwards of one week to just a couple of days” and as Jack summarises “It’s all so quick and easy that we save so much time which obviously is a cost-saving.”
Simultaneously running high-standard events
With SevenEvents previous system, training and onboarding staff was “quite a task”, whereas Jack feels Cvent is “super user-friendly, you can just go in and learn for yourself”. However, for any areas needing clarification, Jack calls out Cvent’s support structure – “The support at Cvent has been fantastic, they’re always available, the 24-hour chat is unbelievable and my Account Manager has been super resourceful with any additions we’ve needed.”
The culmination of adopting Cvent has allowed Jack and the SevenEvents team to “save a great deal of time in the initial setup of building an event, which lets us allocate more resources to other events”, ultimately allowing them to “run more events simultaneously but to the same high standard. Cvent has made everything seamless”.
Wrapping up, Jack ends with the following recommendation: “Overall, my advice to any event agency that is considering using Cvent is just getting in touch. They’re super resourceful, they’ll help you out, they’ll help you adopt the software. Give it a try and I honestly don’t think you’ll regret it.”
