Improving the attendee experience with event technology
Behavioral Science Technology (BST) needed a more efficient way to manage its online registration system and improve attendee experience across their total event program. They needed to replace outdate, in-house systems with a centralized technology solution that would create a modern attendee experience while automating tasks and data flows internally.
Searching for a Centralized Event Management Solution
Originally, BST relied on an internally-developed online registration system for its major conferences. However, the system could not accommodate rising attendance numbers and scale in line with BST’s rapid growth. Moreover, the BST staff was stretched in capacity as far as was manageable.
BST was committed to offering attendees an enhanced interactive onsite experience, but they needed the right tools to help them accomplish their goals. They sought the ability to capture detailed attendee data points in order to steer attendees down specific, appropriate registration paths. They also needed to integrate the registration data with BST’s CRM software, allow registrants to self-modify their registrations, and automate the credit-awarding process. Thankfully, Cvent's all-in-one solution included the needed features and functionality to measurably enhance the attendee experience across their total event program.
Working Smarter, Not Harder with Event Tech
Prior to using Cvent, the BST staff had to manually track clients and prospects in both the CRM and event management systems. With Cvent’s automated integration, all contact data and registration information flowed directly between the CRM system and Cvent. Kyle Ellingsberg, Events Administrator at BST, also loved how he could create event template for quick updates to future events. He explains, “I like how we don’t have to build a completely new event landing page and registration page each year. The process saves between 10 and 15 hours for every event.” BST continues to expand its events. In just three years with Cvent, over 2,400 people attended the Safety in Action Conference, a 10.2% increase from the previous year.
BST also offered its first-ever mobile event app in 2013 with CrowdCompass. Not only did the majority of attendees download the app, but BST tracked 4,700 page views, 1,500 session openings, and nearly 700 banner clicks for the single event. To encourage adoption, BST created a comprehensive marketing plan including promotional strategies centered around the event website, registration pages, email blasts, pre-conference webinars, orientation sessions, QR codes, and on-site conference collateral.
Streamlining the process of capturing attendee information and integrating that data with Cvent made this easier than the BST team could have imagined. The digital opportunities to interact with attendees allowed the BST team to provide easy access to breakout and pre-conference session information, integrate agendas directly into the mobile app, and reduce paper consumption for a more sustainable event.
Looking Forward to New Event Experiences
In its third year with Cvent, BST’s attendance and participation grew across the board. The company plans on increasing its number of conferences from two to four by adding new events in Brazil and Chile. BST can now focus on growing its global presence without worrying about the internal logistics.
With promising mobile app adoption rates using CrowdCompass, BST also wants to cut down on costly printing, shipping, and labor for future conferences, while enhancing the attendee experience through more thoughtful technology.
