As we enter the new year and look forward to new goals, we reminisce on the progress that has brought us here. Criss Jami, American poet and philosopher once said, “The biggest challenge after success is shutting up about it,” and we feel that challenge heartily! And so, we share our successful fourth quarter releases for Cvent's New Standard Registration (Cvent Flex).
Hotel & Travel Feature
The Air Actual widget is now available in Site Designer and can be used to collect Pre-Booked flight details from Invitees. Registrants can also submit Hotel Request Edits to update the check-in and check-out dates after completing registration. Finally, planners can Import Hotel Requests.
Registration/Guests
Planners can now Update Guest Registration Type using the Registration option on the guest's or primary invitee's record. Planners can also Add Registrants to contact groups. Lastly, we’ve updated the registration process to have Read-Only Personal Information Fields (First and Last name, and Email address) in Registration Modification. The planner can control this feature with the new "Allow invitees to modify their personal information after registration" setting at the registration path level. Also newly automated, planners can have Automatic Discounts to automatically apply to registrants.
Finance
Admission Item Refunds are available so that planners can choose how invitees can be refunded when they switch admission items. Apart from the option of being refunded the entire amount paid for the admission item, planners can now choose to refund invitees based on the refund policy created.
Premium Surveys
Visibility logic on image & text widgets in Premium Surveys allows planners to choose for the widgets to display only when the attendees meet specified criteria. While this capability was already available for survey questions, it has now been extended to image & text widgets. General Feedback Survey Visibility Logic is available to define what surveys an attendee can see based on the criteria they meet. Planner can now Collect Feedback Before, During, and After the Event with new availability settings. Additionally, planners can now Award Session Credits After Survey Completion previously only available for event credits, this capability has been extended to allow Session Credits to automatically award after survey completion.
Emails
With Email Recipient Management, planners can now manage the recipients for post-registration emails. Emails for primary registrants, group members, and guests can be set to send to additional recipients (like group leaders and administrators) along with, or instead of, the main recipient. Additionally, the Registration Information Email Widget can replace the functionality of several data tags such as Current Registration. This widget allows control over what information is shown, how the widget is styled, and is completely mobile responsive. To help planners, the new Concurrent Editing Banner advises when another user, identified by username, is accessing the same event's email designer. The banner also reminds planners that changes made while others are also accessing the designer may be overwritten by the other user. The banner does not prevent users from making, saving, or publishing changes. Automated Emails are now available for Invitees/Guests who have completed their Feedback Survey. If multiple surveys are assigned, the email will send when all surveys are complete. Lastly, the system will now alert planners of invalid data tags in the Email Designer.
Security/Data Management
External Authentication for HTTP Post allows planners using HTTP Post to direct invitees to and pre-populate data on their registration. This requires the invitees to complete an authentication process before accessing the event website and registering for the event, resulting in more security by only allowing successfully authenticated invitees to register for the event. For further added security, Website Passcode allows planners to hide the details of their website or registration behind a passcode. For tracking, Google Analytics helps planners be able to better understand their attendee's journey and report on aspects of that journey, like how long attendees spend on certain pages, what page is the most visited, etc. This currently only supports Universal Analytics. Classic Google Analytics is not supported.
Registration Questions
Question Visibility Logic allows planners to differentiate who can see a registration question by a specific registrant or a contact field, in addition to already being able to limit by agenda item or travel settings. Questions will show or hide dynamically as the fields which determine it are changed in the registration form. Questions that are both limited by an agenda item and by a contact field will not show without both conditions being fulfilled.
Sessions
Session Waitlist with Automation allows planners to waitlist their attendees at the session-level. They can set-up their waitlist capacity in a similar way they set-up their session's capacity. By using automation, when a spot opens in the session, the planner can prioritize the triggering of emails based on the "waitlist date" or by the registration type in the event, then the “waitlisted date." Only attendees who've received these trigger emails may then register for the session.
Onsite Support
The Staff List displays the staff to invitees. Staff is an individual who is part of the event personnel. By adding their information, they can be displayed to registrants as points of contact for their individual roles.
