2025 NYS School Boards Association Annual Convention & Education Expo Call For Performing Groups

The New York State School Boards Association is seeking 2 traditional, contemporary and emerging ensembles from all levels (elementary through high school) who wish their groups to be considered to perform at the NYSSBA Annual Convention & Education Expo. The event will be held in the Grand Ballroom of the New York Hilton Midtown in NYC. Performances will take place October 24 or 25, 2025 and are scheduled to run approximately 10 minutes in length. Buses should drop students off on 54th Street between 6th and 7th Avenue. There is a loading dock and special service elevator to move larger, non-hand-held gear to and from the performance site. Criteria for selection will include performance quality, varied representation of urban, rural and suburban schools, diversity of students in the performing groups, and varied age levels of the groups. Conductors of performing organizations may find more detailed information about the application and acceptance process below. Applicants must be from a school district that is a current NYSSBA member in good standing through the 2025 calendar year. To facilitate the completion of this application, please have the following available for upload: A. Projected number of students/persons who will perform. B. The group director's name, NYSSMA (NAfME) membership number, home address, school address, home and school phone numbers, home and school email addresses. C. Dates and Locations of group's previous performances at NYSSMA, NYSSBA and/or other Association Conferences (if applicable). D. Letter of Approval from the Chief School Administrator indicating a willingness to transport the group to and from the convention site. The letter should also include that any hotel accommodations and/or meals are the responsibility of the school district should the group be selected to perform (to be uploaded). E. Copies of recent concert programs (to be uploaded). F. Recordings of three (3) compositions by the group in performance. They can be audio or video recordings You have two options for submitting recordings: - Option 1: Convert files to .mp4 or .mov. Files will need to be compressed so that they are less than 50MB each. There are several free websites you can use to compress your files. Files larger than 50MB can not be accepted. Files should be named: title.format (ie: Ballad.mp4) - Option 2: Upload files to YouTube or Vimeo and submit a link. G. Conductors will be notified of the outcome of their application in June 2025. Conductors of accepted performing organizations should be aware of the following: A. The selection procedure will not in any way inhibit NYSSMA from recommending or NYSSBA from inviting other groups to perform, in order to achieve the best possible balance of types of groups, variety of style, age level, or other criteria. B. NYSSMA’s role in this process is strictly one of recommending groups to NYSSBA; the final choice of groups rests with NYSSBA. C. Each accepted group will be responsible for its own transportation, meal arrangements, overnight lodging if necessary, and any finances associated with its participation. D. Participating schools will accept performance time, length, location and format as prescribed by NYSSBA. The convention will take place at New York Hilton Midtown, 1335 Avenue of the Americas, New York, NY 10019 E. Participating schools must furnish all their own musical equipment and music stands. F. Applicants must be from NYS School Boards Association member school districts. G.
